  • 🚨Please follow all of the steps and sign your waiver ASAP. 🚨

  • Please check that the classes in your zone are listed correctly.

  • You can’t pre-book activities, but you can drop in during breaks.

CREW DROP-IN ACTIVITIES - THURSDAY EVE

On Thursday night from 6 pm, you’ll get early access to some of our activities, including Welcome Yoga and a chance to learn the Headline Dance Routine. Details of everything available will be confirmed on the day, and you don’t need to book ahead.

DISCOUNTED PAID ACTIVITIES - THURSDAY EVE (bookings open 10 am, Sat 4th July)

You’ll also have the option to book Thursday Evening Moto Lessons and Sauna & Cold Plunge Sessions at discounted crew costs. Some of you will be on duty setting up in the evening (i.e., your shift continues after 6 pm). If you think that might be you, please don’t book paid activities in case you miss them.

  • Spaces open for booking 10 am Sat 4th July (same time as the general paid activities go on sale).

  • Spaces are allocated on a first-to-book basis.

  • These sessions will not appear in the Camp VC booking app, as they’re only available to volunteers and certain crew.

“CREW ONLY” TATTOOS - THURSDAY EVE (list opens 10 am, Sat 4th July)

We’ll be offering crew-only designs in our tattoo studio (as well as the 2026 flash). You can register here from 10 am, Sat 4th July.

Crew Hub

As a Zone Leader, Deputy Zone Leader or Senior Coach, you'll have access to hot drinks and squash from Thursday evening, plus a grab-and-go lunch from the Sandwich Bar on Friday, Saturday and Sunday (12 pm - 1.30 pm).

Email bookings@campvc.co.uk to alert us to any allergies and let the crew know directly before consuming any food or drink.

The Crew Hub is located on the Main Event Site and is closed overnight.

Workshop Hosts and Helpers are welcome to use the Crew Hub for drinks only. Some crew members qualify for full catering, so please ensure you and your team only take what you're entitled to.

activity CHECK-IN

Please note: The below does not apply to BMX, where attendees will be checked in using a paper register instead of the app, and there is no waitlist. For Archery, you will receive a list of attendees who have already signed a waiver and only need to collect waivers from those who have not.

WAITLIST

Guidebook operates an automatic waiting list. If someone cancels their spot before an activity, the next person on the waiting list will automatically be offered their place. The waiting list does not apply to no-shows. If someone fails to attend, any available spaces will be allocated on a first-come, first-served basis by the Zone Leader/ Workshop host.

CHECK-IN (BOOKED CLASSES)

  • Ask attendees to show their booking in My Schedule within the app.

  • If their phone has died, they should wait until the end of check-in and can take a place only if one is available.

  • No scanning is required. You will have a paper register showing the maximum capacity for each class. Count attendees and allocate any remaining spaces to those waiting on a first-come, first-served basis.

  • Log the number of attendees on the paper register.

DROP-IN ACTIVITIES

  • Please allocate spaces on a first-come, first-served basis. No booking is required.

  • For rolling drop-in activities, you may occasionally need to ask someone to move on if there's a queue and they've had a fair amount of time.

  • Capacity will vary depending on the activity, but as a general guide, allow no more than 15 people in a 6 m bell tent, 50 in a tipi, and 100 in a double tipi.

  • If an area feels too crowded, unsafe, or the experience isn't working well, trust your judgement and limit numbers. If you're unsure, radio for assistance.

arrival info

  • One Giant Leap, Tan Y Graig, Llangollen, LL20 8AR. Please follow directional signage and ignore your Sat Nav as you approach, as we have a road closure and one-way system in place.

  • You won’t be sent your crew event ticket or car/camper/moto parking pass in advance. These will be issued to you when you arrive on site. Please park up in the car park or camper field and head to the Main Reception to check in. Motos will park up in the camping field. Everything will be clearly sign-posted.

  • Cars may only enter the main event site if essential for set-up and must be returned to the car park by 3 pm.

  • Zone leaders need to be on-site to set up by 1 pm on Thur 23rd July.

  • The rest of your team must arrive by 3 pm Thur 23rd July.

  • Everyone must attend the all-crew briefing at 5 pm Thur 23rd July.

emergencies

  • If it is safe to do so, you may be asked to assist with an emergency evacuation by calmly directing attendees from your zone to the nearest available exit and checking that all tents in your area have been cleared.

  • Follow the instructions given by Tier 1 Crew over radio, tannoy, megaphone or in person.

  • When you arrive on site, please familiarise yourself with the site layout, including the locations of fire extinguishers, emergency exits, and emergency assembly points.

  • In a medical emergency, dial 999 and alert the medics via radio or by heading to the medic tent at the Main Entrance.

  • You’ll be briefed in more detail ahead of the event.
